What is it?

Management of defects, incidents, and pending quality tasks in the project. Allows creating items, assigning them to responsible parties, and tracking until resolution and formal closure.

When to use it

During final and intermediate site inspections to document deficiencies that must be corrected before delivery. Also for tracking corrections during execution.

Creating a punch item

When you record a punch item you describe the defect and where it sits. The essential information is a concise title of the defect or task, a fuller description of the incident, the issue type according to your company's classification, the trade responsible for fixing it, the exact location in the project, the priority (high, medium, or low), and the current status. You can also name the punch item manager who oversees it and the final approver who signs off on its closure, assign the people responsible for the correction, set a due date, and attach photos, plans, or reference documents.

The correction lifecycle

A punch item moves through a clear sequence as it is resolved:

  • It starts as Open once recorded, waiting to be assigned or started.
  • It becomes In Progress while the correction work is underway.
  • Once the defect is fixed it is marked Resolved, pending inspection and formal closure.
  • Finally the approver verifies the correction and sets it to Closed.

What you can do

You can create punch items to record defects or incidents, assign them to specific people for correction, and advance their status through the lifecycle until closure. Along the way you can add comments to document progress and upload photos of the defect or the completed correction. You can also import a punch list from an existing Procore project, export the full list to Excel, and configure custom workflows that define the approval flow for closing items.

How to use it

  1. Go to Field Management → Quality Management → Punch List.
  2. Click "New Punch Item". Fill in all required fields.
  3. Assign the item to the parties responsible for correction.
  4. The responsible party corrects the defect, attaches photos, and changes status to "Resolved".
  5. The Final Approver verifies the correction and closes the item in "Closed" status.
